We collect information you provide directly, such as your name, email address, phone number, company details, and tax documents uploaded to the platform. We also automatically collect usage data including IP addresses, browser type, device information, and interaction patterns to improve our services and ensure security.
Your information is used to: provide and maintain the document management platform; communicate important updates about your account; ensure the security and integrity of your data; comply with legal and regulatory obligations (aligned with extended IRS audit lookback periods, up to 7 years); and improve the overall user experience.
We employ industry-standard security measures including AES-256 encryption at rest, TLS 1.3 encryption in transit, row-level data isolation, secure session management with automatic timeouts, and optional multi-factor authentication (TOTP). Our infrastructure is designed to meet GLBA compliance requirements for the protection of financial data.
Data retention follows one single policy across Promax TaxStreamLine. While the subscription is active, client data is retained for the duration of the subscription. Upon cancellation, account access and login profiles are deactivated 30 days after the cancellation date. Uploaded tax documents are retained by default for up to 7 years, a period aligned with extended IRS audit lookback periods, unless the firm requests earlier permanent deletion through a signed deletion request from an authorized firm administrator. No liability waiver is required for deletion. Firm administrators can also export a complete copy of their data at any time from the admin dashboard. Accounting firms remain responsible for maintaining their own independent records as required by their professional and regulatory obligations.
We may use third-party services for payment processing (Stripe), email delivery, and infrastructure hosting. These providers are contractually obligated to protect your data and are only given access to information necessary to perform their services.
